This policy explains what information the ZRTI MLY APP collects from trainees of the Zonal Railway Training Institute, Moula Ali, how it is used, and who it is shared with. It applies to the mobile application and to the trainee-facing pages of zrtimly.com.
Who we are
Zonal Railway Training Institute, Moula Ali, Hyderabad 500040, South Central Railway, Indian Railways. The app is provided for the administration of training programmes conducted by the institute.
Information we collect
Information you or the institute provides
- Identity and service details — HRMS number, name, date of birth, designation, department, division, station, and date of joining. These come from the institute's existing training records.
- Contact details — email address, mobile number, correspondence address, permanent address, and emergency contact details.
- Profile photograph — if you choose to upload one, using your device camera or photo library.
- Account credentials — your password, which is stored only in an irreversible hashed form. We never store your password in readable form.
Training records
- Attendance, batch allocation, hostel and room allocation.
- Test and examination attempts, answers submitted, marks and results.
- Library books and sports items issued to you, and leave applied for.
- Mess charges, expenses, dues, receipts and invoices.
- Certificates and relieving letters issued to you.
- Feedback and queries you submit through the app.
Payment information
- The amount you choose to pay and the transaction reference we generate for it.
- The UTR or bank reference number of your payment, whether you enter it yourself or it reaches us from the bank.
- Information the bank sends us to confirm a payment: the bank reference number (RRN), the UPI ID used, the payer name and mobile number as registered with the payer's bank, the amount, and the date and time.
We never see or store your card number, bank account number, UPI PIN or any banking password. When you pay, the payment is completed entirely inside your own UPI application. The app only passes the institute's payment address and the amount to it.
Technical information
- Notification token — an anonymous identifier issued by Google Firebase Cloud Messaging so we can send you notifications. It does not identify you personally.
- Basic usage records — which public sections of the app are opened, and app installation counts, used to understand which features are needed.
Information we do not collect
- Your location. The app does not request or collect location data.
- Your contacts, messages, call logs, or other applications.
- Your fingerprint or face data. If you enable biometric unlock, the check is performed by your device's own secure hardware and the result alone is returned to the app. Your biometric data never leaves your device and is never transmitted to us.

Each permission is requested only when the related feature is used, and you may decline any of them. Declining a permission disables only that feature.
How we use your information
- To administer your training: attendance, examinations, accommodation, library and sports issues, and leave.
- To calculate and collect mess and hostel dues, and to issue receipts and invoices.
- To confirm your payments automatically and update your dues without you having to enter a reference number.
- To issue certificates and relieving letters.
- To send you notifications relating to your training.
- To maintain official training records as required of the institute.
We do not use your information for advertising, and we do not sell it or share it for marketing.
Who we share your information with
- ICICI Bank — when you make a payment through the app, the institute's payment address, the amount and our transaction reference are passed to the bank through your UPI application. The bank confirms the payment back to us. This is necessary to collect the payment.
- Google Firebase Cloud Messaging — your notification token, so that notifications can be delivered to your device.
- Indian Railways — your training records and results, as part of the institute's official reporting to the railway administration.
We may also disclose information where required by law, by a court, or by a competent authority.
How long we keep your information
Training records, examination results, certificates and financial records are retained as official records of the institute in accordance with Indian Railways record retention requirements. Your notification token is deleted when you sign out or uninstall the app.
How we protect your information
- All communication between the app and our servers uses encrypted HTTPS connections.
- Your login token is held in your device's secure storage — the iOS Keychain or the Android Keystore.
- Passwords are stored only as irreversible hashes.
- Payment confirmations received from the bank are encrypted in transit and decrypted only on our server.
- Access to trainee records by institute staff is restricted by role, and changes are recorded in an audit log.
Your choices
- See and correct your details. You can view your profile in the app and request corrections to your contact details.
- Turn off notifications. Through your device settings at any time.
- Remove your profile photograph. On request.
- Ask about your data. Contact us using the details below.
Because your records form part of the institute's official training and financial records, we may not be able to delete them while a retention obligation applies. We will explain the position if you ask.
Children
The app is provided only to railway employees enrolled as trainees at the institute. It is not intended for and not directed at children.
Changes to this policy
If this policy changes, the updated version will be published on this page and the date at the top will be revised. Significant changes will be notified in the app.
